Job Title: Fiscal Assistant

Department: Administrative

Supervisor: Fiscal Administrator

Location: Main Office

Employment Status: 20 hours a week with potential for full tine within one year

 Hours: Monday-Friday 9:00am-5:00pm (hours flexible)

The Fiscal Assistant works for the Fiscal Administrator, assisting with daily, monthly, and quarterly tasks relating to accounting, grant finance reporting, and payroll.

Essential Duties and Responsibilities:

Bookkeeping: Support Accounts Payable, Accounts Receivable, General Ledger, and Payroll processes:

  • Accounts Receivable: post funds received via check and electronically
  • Accounts Payable: post bills, credit card purchases, and petty cash
  • General Ledger: post journal entries and assist in month-end closing
  • Payroll: Assist and provide backup

Grant Support: Assist with financial reports for government grants and private foundations on a monthly, quarterly and annual basis; including:

  • Track allowable expenses and staff salaries/benefits
  • Provide required detailed backup to support grant billing
  • Work closely with the Fiscal Administrator, Grants Administrator, CEO, and program staff

Records Management: Implement, maintain, and archive a professional and organized file system that is audit-ready and compliant with internal and external policies and standards

Other duties as assigned

Knowledge, Skills, and Abilities:

Bookkeeping Skills: basic (intermediate preferred)

 Computer Skills:

  • Intuit QuickBooks: basic (intermediate preferred)
  • Microsoft Excel: intermediate
  • Microsoft Word: intermediate
  • Microsoft Outlook: basic (intermediate preferred)

Records Management Skills: intermediate


Associates degree in business/accounting or equivalent experience


Minimum one-year bookkeeping and/or administrative experience in a professional setting

  • Well-organized and accurate with a meticulous attention to detail
  • Task-oriented and able to follow tasks through to completion in a timely manner
  • Capable of prioritizing, analyzing, and problem-solving
  • Maintain confidentiality
  • Be a team player and work effectively with both administrative and program staff

  • A general understanding of the dynamics and causes of domestic violence

Working Conditions and Physical Demands:

  • Normal office environment; may require sitting for up to 4 hours at a time.
